    How do I create and manage Kits?

    A guide on setting up Kit Items / Selling bundled products for ecommerce

    Kits allow you to group a number of products together under one code, so that you can sell them as one package. They are effectively a type of Assembly item that you can sell online as well as in-store.

     


    Creating a Kit

    1) In the main menu in Back Office, expand the Items heading, then click on Items.

     

    2) Click on New and select Kit from the options:

     

    3) Create a lookup code and a description for your Kit, and assign a Department and Category. You can also assign a Brand and a Season, if relevant.

    This description will not show anywhere on the customer's receipt.

     

    4) Next, decide whether you want this to be a Fixed Kit or a Dynamic Kit.

    Fixed – these kits are more suited to groups of items that you would prefer to be sold together as a set, rather than individually.
    Dynamic – these kits are more suited for items that you want to be able to sell as part of a bundle deal, but also be able to sell them separately.

    You can go back and change this later if you need to.

    Once you're happy, click on Create.

     


    Adding items to a Kit

    1) To add items to the kit, click Add Items to Kit, then use the filters to find the required items and tick the boxes to the left of each item to select it. Click Add Item(s) to confirm.

     

    Certain item types cannot be added to Kits

    You cannot add an Assembly item, a Matrix Parent or another Kit item to your Kit – only Standard, Serialised or Non-Inventory items.

     

     

    An item can be added to multiple kits, with different prices – you can see which kits an item is part of in the Item Details section of the item card. This section also shows you if it's a child item within a Matrix:

    NOTE: if an item is in multiple kits at different prices, and both of those kits are added to the same transaction, there will be two separate lines for that item on the transaction, to reflect the two different prices.

     

    2) You'll then see a list of the items that make up the kit, with their respective quantities. If you'd like to increase the quantity of any of the items in the kit, click on the pencil Edit icon and change the number in the Quantity field.

     

    3) You also have the option to set a customised total price for the Kit. You can do this by ticking the Enable custom pricing tickbox in the top right of the page, entering a custom price for the kit and then clicking on Set Price.

     

    In the example above, the total price of the items would be £95, but we are setting this to be £80 instead. Cloud POS will split out the discount across each of the items within the Kit (rounding may be applied). You can also use the pencil edit icon to change the price of an individual item within the kit, if you prefer.

     

    4) Further down the screen, you'll have the Inventory section, which lets you see how many of this kit you're able to sell. It'll look something like one of these, depending on whether you created a Fixed kit or a Dynamic kit:

    In both of these examples, you can see that there's a Possible Kits column, telling you how many of this kit you would be able to sell. The system will look at the current stock figures for all of the items in the kit. It will then work out how many possible kits you can sell, by looking at whichever item in the kit has the lowest available stock.

    When you're building the kit, you can see how many kits you'll be able to sell from the Search and Select Items panel – for example, with the ticked items in the screenshot below, I will only have 3 kits available to sell, because the "AVIP Reflective Cap Uranium Black one size" only has 3 units of Free Stock at my local store:

     

    5) For Dynamic Kits, the number in the Possible Kits will be used as the available stock for this kit on your ecommerce site. For Fixed Kits, you will need to use the Build button to create stock of those kits to sell online.

    You will only be able to build kits at a store if you have stock at that store of each item in the kit.

    6) A menu will pop up where you can enter the quantity that you want to build - the maximum possible amount will be entered by default, but you can delete this and type in a lower number if you like. Typing in a higher number will simply build the maximum available amount of kits. When you've entered your desired quantity, click on Build.

     

    Understanding Stock Allocation with Fixed Built Kits

    When you build a Fixed kit, you are effectively taking those items, wrapping them up and putting them in a gift bag to sell as a package deal. That package deal can be sold online or in-store.

    The units that you put into those (metaphorical) gift bags will not be shown in the Inventory section of those individual item cards. Instead, they'll be counted within the Quantity of built kits. To use our example from above, I had 3 units of the "AVIP Reflective Cap Uranium Black one size" – I then built three kits containing this item. So now, the Inventory for this item shows 0 stock available:

    Instead, those units are now included in the 3 built kits that I have at the Ulverston Store:

    Kit items also cannot be added to a Stock Take / Inventory – the Expected Quantity for items on a stock take / inventory will not include units that are in built fixed kits. You can choose to either break all of the built kits before the stock take / inventory and count the individual units from those kits, or you can leave the kits as built and ignore the units in the kits when you do the count.

    To help with this, there is a Kit Items Inventory Report in Cloud Reports (under the Inventory Reports section) where you can see how many built kits you currently have.

     

     

    7) Your changes will autosave, so your Kit will now be ready for you to make it active in Cloud MT. You'll also be able to add it to transactions in the Point of Sale, if you'd like to sell it as a bundle in-store as well.

    8) You can print a label for your Kit, if you would like to be able to scan to add it to transactions. You will find this option at the bottom of the page:

     


    Deleting items from Kits

    1) To remove an item from a kit, click on the red Delete icon next to it in the list of Items in Kit.

     

    2) If the Delete icon is greyed out, that means you're trying to remove an item from a Fixed Kit while you still have kits built.

     

    In this case, you'll need to break the current kits using the Break button, then remove the item from the kit.

     

    3) You can then choose whether to replace that item with a different one, or leave the kit as it is. Once you're happy, you can build the Fixed kits again (provided you have enough stock to do so).

     

    Frequently Asked Questions

    Can I add Matrix items to a Kit?

    You can add any Standard item to a Kit – you cannot add Matrix Parent items. There is no way for customers to choose their preferred size of child item when purchasing a kit online, so you would need to make a separate kit item for each available size if you want to sell kits with sized items.
