    How do I import Stock Levels / Inventory Count from a CSV file?

    Initial stock take

    If you have stock levels / inventory counts from a previous system that you wish to import, or if you wish to do a bulk upload of stock figures, you can use the Stock Take / Inventory feature to import these levels onto your system.

    You will need to create a CSV (Comma Separated Values) file that contains three columns.

    Column A should be the Item Lookup Code, Alias (Barcode/EAN/UPC) or the Supplier Reorder Number.
    Column B should be the Quantity.
    Column C should be the Date Counted, as shown in the example below (this can also be in US date format):


     

    You then need to create a Stock Take / Inventory.

     


    Creating a Stock Take / Inventory

    1) From the main menu in the Back Office, expand the Stock Management heading, then click on Stock Takes / Inventory.

     

    2) Click on New and create your Stock Take / Inventory by filling out the Description and choosing your Store.

     

     

    3) Next, click the Create a Blank Stock Take / Inventory & Add Items button to create your new Stock Take.

    4) In the bottom right of the page above, click on the Import button.

    5) Set the Items and Quantities options as shown below, then you can either drag and drop the file onto the green box, or click on the green box and then browse for your previously created import file.

     

    6) It will then inform you if there were any items that did not work, and you can then click on the View Report link to see where the issues are.

     

    7) You can now close this window, which takes us back to the Stock Take / Inventory screen, you should now be able to see the items that are going to be updated with the stock values from your file:

     

    8) You can now click the Calculate & Commit button (or Calculate & Submit in the US localization of Cloud POS) which will take us to the screen which shows us the changes to our stock levels. We'd advise double-checking these counts and everything looks good, you can then apply a Reason Code to each item line.

    In this case, you'll want to use the same Reason Code for all of them (probably Stock Take / Inventory or similar), which you can do in bulk using the Apply Reason Code to All Items option on the right.

     

    9) Finally, you can click the Commit Stock Take / Inventory button in the bottom right, which will adjust your stock levels.
