    How do I control how many barcode labels print for an item?

    When you commit stock on a purchase order, you have the option to print barcode labels for the items being booked in. By default, one label prints for every unit received — but this isn't always what you want. Some items arrive in a box that stays intact on the shop floor, and some items never need a label at all. To handle this, Cloud POS provides Label Print Options on a per-product basis, so you can control how many labels print for each item.

    This article explains the three print options, when to use each one, and how to change the setting for a single item or for groups of items in bulk.

     


    The three Label Print Options

     

    Normal label print

    This is the default setting — all new products are created with this option. One label prints for every unit received, so if 10 of an item are booked in on a purchase order, 10 labels will print.

    Use this for items where every individual unit is displayed and sold separately, and each one needs its own barcode and price label — for example, garments hung on a rail, helmets on a shelf, or bike components in individual packaging.

     

    Only ever print one label for this item

    No matter how many units are booked in on a purchase order, only one label will print.

    Use this for items that are received and displayed in a box quantity. For example, if you receive a counter-top display box of 24 energy gels, the box stays intact on the counter and customers take gels from it — so you only need one label for the front of the box, rather than 24 individual labels that would go straight in the bin.

     

    Never print labels for this item

    The printer will never print a label for this item, regardless of the quantity received.

    Use this for physical stock that you receive but would never individually label. Common examples include very small loose items (such as ball bearings or cable end caps) sold from a tub and priced at the register, and large items such as complete bikes or skis, where a swing tag or display ticket is used instead of a sticky barcode label.

    Choosing the right option

    A quick way to decide: think about what happens to the item when it lands on the shop floor. If every unit sits out individually, use 'Normal label print'. If the units stay together in their box, use 'Only ever print one label for this item'. If the item is never physically labelled, use 'Never print labels for this item'.

     

     


    Changing the print setting — manually

    1) In the Back Office, navigate to Items and find the item within the item list.

    2) Double-click on the item to open it.

    3) Select the Labels tab within the item card.

    4) Under the Label Print Options section, choose the setting you want to apply:

     

    5) Click Save Pending Change in the bottom right corner of the screen.
